Set Up Email for Your Domain

Go to workspace.google.com and click "Get Started." Choose the Business Starter plan ($7/user/mo). Enter your business name and the number of employees. When asked "Do you have a domain?", select Yes, I have one and type in your domain name.

Create your first admin account (e.g., admin@yourdomain.com). This will be the super-admin for your organization.

Google will ask you to verify you own the domain. The easiest method is adding a TXT record to your DNS. Log into your domain registrar (Namecheap, GoDaddy, Cloudflare, etc.) and add this record:

Replace the value with the one Google gives you. Wait a few minutes, then click Verify in the Google Admin console.

In your domain registrar's DNS settings, delete any existing MX records, then add these five records:

Set TTL to 3600 (1 hour). MX records can take up to 72 hours to propagate, but usually work within 1-2 hours.

In the Google Admin console (admin.google.com), go to Directory → Users → Add new user. Create mailboxes for each team member: first name, last name, and primary email address.

Each user will get their own Gmail inbox, Google Drive, Calendar, and Meet access. Share the temporary password and ask them to change it on first login.

Once MX records propagate, go to mail.google.com and sign in with your new email address. You now have professional email with your custom domain.

For mobile: open the Gmail app, tap your profile icon, select Add another account, choose Google, and sign in with your new address. All your mail, calendar, and contacts will sync automatically.

Go to zoho.com/mail and click Sign Up Now. Select the Mail Free plan (supports up to 5 users, 5 GB each). Choose "Add your existing domain" and enter your domain name.

Create your administrator account. This will be the first email address on your domain.

In the Zoho admin panel, go to Domains and click Add Domain. Enter your domain name. Zoho will guide you through domain verification and mail setup.

Zoho will give you a TXT verification code. Add it to your DNS settings:

Replace the value with the code Zoho provides. Click Verify after adding the record. It may take a few minutes for DNS to propagate.

Delete any existing MX records in your DNS, then add these:

If your domain is on a non-US Zoho datacenter, use mx.zoho.eu or mx.zoho.in instead. Check the Zoho admin panel for the correct values for your account.

Go to Zoho Mail Admin → Users and add mailboxes for your team. On the free plan, you can have up to 5 users with 5 GB storage each.

Access your email at mail.zoho.com. Zoho also offers mobile apps for iOS and Android for on-the-go access.

Go to fastmail.com and create an account. Choose the Standard plan ($5/user/mo) which includes custom domain support and 30 GB of storage. Start with a Fastmail address first — you'll add your domain next.

In Fastmail, go to Settings → Domains → Add Domain. Enter your domain name. Fastmail will show you all the DNS records you need to add.

In your registrar's DNS settings, add the MX records:

Then add the DKIM records (three CNAME records):

Replace "yourdomain.com" with your actual domain. Fastmail's settings page shows the exact values for your domain.

Go to Settings → Domains, click your domain, and add email aliases. For example: hello@yourdomain.com, support@yourdomain.com, yourname@yourdomain.com. All aliases deliver to your single inbox — no extra cost.

You can also set up catch-all to receive emails sent to any address at your domain.
